RAMDDA supports the recognition of academic work completed during approved mobility periods. Recognition is coordinated between the home institution, host institution, academic supervisors, and relevant RAMDDA focal persons.

The purpose of recognition is to ensure that eligible study, training, research, or mobility activities completed at a host institution are properly documented and, where applicable, recognised by the home institution.

1. Recognition Principles

Recognition of studies under RAMDDA is guided by the following principles:

  • Mobility activities should be agreed upon before the start of the mobility period.
  • Study, research, training, or staff mobility activities should be documented using the relevant agreement or plan.
  • The home and host institutions should confirm the expected academic or research outcomes.
  • Completed activities should be recorded and supported by relevant academic documentation.
  • Recognition should be based on the approved learning agreement, research plan, traineeship agreement, or staff mobility agreement.

2. Credit-Seeking Mobility

For credit-seeking mobility, students undertake part of their study or research at a host institution while remaining enrolled at their home institution.

Recognition may include:

  • Credit transfer for completed courses or academic activities
  • Recognition of laboratory work or research activities
  • Recognition of seminars, workshops, or approved training activities
  • Inclusion of completed mobility activities in the student’s academic record

Before mobility begins, the student, home institution, and host institution should agree on the academic activities to be undertaken and how they will be recognised after completion.

3. Degree-Seeking Mobility

For degree-seeking mobility, scholarship holders are admitted into a full degree programme at the host institution, subject to the academic rules and graduation requirements of that institution.

Recognition may include:

  • Registration in the approved degree programme
  • Supervision and assessment according to the host institution’s academic regulations
  • Issuing of academic records by the host institution
  • Awarding of the degree by the institution responsible for the programme, where all requirements are met

Degree-seeking scholarship holders must comply with the academic regulations, progression rules, research requirements, and graduation procedures of the host institution.

4. Learning Agreements

A Learning Agreement is used to define the planned academic activities for credit-seeking mobility. It helps the home and host institutions agree on the activities to be completed and the recognition process after mobility.

A Learning Agreement may include:

  • Student details
  • Home and host institution details
  • Programme or field of study
  • Courses, research activities, or training components
  • Expected credits or academic workload
  • Approval by the student, home institution, and host institution
  • Any changes made during the mobility period

The final Learning Agreement should be approved before or at the start of the mobility period.

5. Research Plans

A Research Plan may be used where the mobility is primarily research-based. It outlines the approved research activities and expected outputs during the mobility period.

A Research Plan may include:

  • Research topic or area
  • Objectives of the research mobility
  • Host supervisor and home supervisor details
  • Planned laboratory, field, or computational work
  • Expected outputs or deliverables
  • Duration and timeline of the research activity
  • Reporting or assessment requirements

Research activities should be aligned with the approved RAMDDA mobility purpose and the academic expectations of the participating institutions.

6. Traineeship Agreements

For traineeship mobility, a Traineeship Agreement defines the approved placement, training activities, expected skills development, and supervision arrangements.

A Traineeship Agreement may include:

  • Trainee details
  • Host institution or placement unit
  • Training objectives
  • Assigned supervisor or mentor
  • Duration of the placement
  • Skills or competencies to be developed
  • Monitoring and completion requirements

The host institution or placement unit should confirm completion of the traineeship activities at the end of the mobility period.

7. Staff Mobility Agreements

Staff mobility activities should be documented using a Staff Mobility Agreement or equivalent institutional approval document.

This may include:

  • Staff member details
  • Home and host institution details
  • Purpose of mobility
  • Teaching, training, supervision, research, or administrative activities
  • Expected outcomes
  • Duration of mobility
  • Confirmation by relevant institutional authorities

Staff mobility recognition may include acknowledgement of completed activities, institutional reporting, collaboration outputs, and contribution to RAMDDA project objectives.

8. Transcript of Records and Completion Documentation

At the end of the mobility period, host institutions should provide appropriate documentation confirming completed activities.

This may include:

  • Transcript of Records
  • Statement of results
  • Certificate of attendance
  • Confirmation of research activity
  • Traineeship completion confirmation
  • Supervisor report
  • Mobility completion letter

For credit-seeking mobility, the Transcript of Records or equivalent documentation is used by the home institution to support credit transfer and academic recognition.

9. Recognition Process

The general recognition process is as follows:

  1. The student, trainee, or staff member confirms the approved mobility activity.
  2. The relevant Learning Agreement, Research Plan, Traineeship Agreement, or Staff Mobility Agreement is completed.
  3. The home and host institutions approve the planned activity before mobility begins.
  4. The scholarship holder completes the approved mobility activities.
  5. The host institution issues the relevant transcript, report, or completion document.
  6. The home institution reviews the documentation.
  7. Eligible activities are recognised according to institutional rules and the approved agreement.

10. Responsibilities

Scholarship Holder

The scholarship holder is responsible for:

  • Completing the required agreement or plan before mobility
  • Following the approved study, research, training, or staff mobility activities
  • Keeping copies of all signed documents
  • Requesting transcripts or completion documents from the host institution
  • Submitting required documentation to the home institution and RAMDDA where applicable

Home Institution

The home institution is responsible for:

  • Confirming how the mobility activity will be recognised
  • Approving the relevant agreement or plan
  • Reviewing host institution documentation after mobility
  • Processing credit transfer or academic recognition where applicable

Host Institution

The host institution is responsible for:

  • Supporting the approved mobility activities
  • Providing supervision, training, teaching, or research support
  • Assessing or confirming completed activities where applicable
  • Issuing transcripts, completion letters, or relevant academic documentation

11. Important Note

Recognition of studies is subject to the academic rules, quality assurance procedures, and approval processes of the participating institutions. Scholarship holders should consult their home and host institution focal persons before and during mobility to ensure that all required documentation is completed on time.
